Email Automation
helio / email-automationConnect your inbox. It reads, triages, drafts replies, and follows up, so you only touch what needs a human decision.
Patrol my Gmail every 3 hours. Triage each unread message into partner replies, invoices, and noise, draft a reply in my voice for anything that needs one, and flag any outbound email that crosses 6 opens with no reply. Ask me what you need before you start.
Swap in your own buckets and the open count that counts as a WARM signal.
What is Email Automation?
A teammate that patrols your inbox: it reads every unread message, sorts it into partner replies, invoices, and noise, and drafts a response in your voice for anything that needs one. It sends nothing on its own, and every draft waits in your drafts folder for your review.
What it does
Any chatbot clears an inbox once. Helio runs it as a standing job — from your context, kept current, delivered to you.
| Owns the job, not just the reply | It classifies mail, drafts replies, logs invoices, and escalates WARM signals in one running patrol. |
| Runs again without starting over | Once the patrol is set, it runs every 3 hours on its own, with no re-prompting when new mail lands. |
| Works from your context | It reads your Gmail sent folder for tone and your thread history for who matters, so drafts match how you write. |
| Keeps itself current | It turns any judgment call it made twice into an explicit rule, so the triage keeps getting sharper. |
| Lands where you work | The inbox digest and WARM alerts arrive as a DM, so you never open Helio to read them. |
Three things it gets right
WARM signal escalation
An outbound email that crosses 6 or more opens with zero reply gets flagged immediately, skipping the next scheduled patrol.
Invoices that age themselves
Every incoming bill is logged on arrival and escalated once past 48 hours and again past 72.
Nothing sends itself
Every reply sits in your drafts folder, and a single nudge lands if a draft goes 24 hours unreviewed.
Questions
- What email providers does Helio connect to?
- Gmail today. Outlook and other providers are on the roadmap.
- Does the AI send emails on my behalf without asking?
- No. By default it drafts replies for your review. You can enable auto-send for specific categories, like scheduling confirmations, once you set the rules.
- How does it know which emails are urgent?
- It reads sender history, thread context, and whether you've replied to this person before. You can also set explicit rules, like 'anything from an investor is always high priority'.
- Can it learn my writing style?
- Yes. It reads your sent folder to match your tone, vocabulary, and typical reply length. The more it sees, the closer the drafts get.
- What's a WARM signal?
- When someone opens an email you sent them six or more times in a short window, that's a strong signal of interest before they even reply. Helio flags it immediately instead of waiting for a response that may never come.
- How is this different from the Outreach Assistant teammate?
- This patrols your personal inbox: triage, drafts, WARM signals, and invoices. Outreach Assistant runs the other direction, batch-drafting to a contact list in each recipient's language with campaign-level follow-up tracking.
